Front Desk Receptionist Responsibilities

A likable and professional tone over the phone is a great asset to have as a receptionist.


A front desk receptionist is a needed position in any high-frequency corporate office or in service offices, such as a dentist's or doctor's office. Front desk receptionists provide customer service to clients and customers, answer phones, transfer calls, schedule appointments, complete faxes and emails, and file paperwork. Generally, this position requires progress on or a completed college degree, and a demonstration of the ability to multi-task and stay organized.


Scheduling Responsibilities


Scheduling software is often used by front desk receptionists to manage appointments.


Front desk receptionists are generally put in charge of scheduling appointments, often using basic computer programs to block out appointment times for workers in the office. When appointments need to be rescheduled, or calls need to be made to confirm attendance, that will also fall under the responsibilities of the receptionist.


Phone Responsibilities


Front desk receptionists should always look professional to greet visitors.


A front desk receptionist is responsible for checking messages at the beginning of each shift, transferring calls to the correct office, and maintaining a professional demeanor when answering the telephone. A receptionist must be able to accurately answer general inquiries over the phone, and so should be well versed in the basic workings of the office and should know everyone's extension number.


Paperwork Responsibilities


Receptionists are responsible for the upkeep and organization of several types of office documents.


Most front desk receptionists are required to perform basic paperwork responsibilities such as mail delivery, faxing, and data entry. In some offices, particularly for smaller businesses, receptionists are responsible for organizing and maintaining a filing system for paper documents.
