It is important to plan out clear promotional objectives when organizing an event.


Planning an event for your organization can be a stressful task. Promoting the event is equally as important as having the event itself run smoothly. Being organized and having promotional objectives can lead to a better turnout, more press and a memorable event that guests will continue to talk about. Don't waste your marketing dollars by putting time and energy into unproductive promotional tasks.


Finding Guests


No matter what type of event you are having -- from a gala to a concert -- you need to attract attendees. Events with low turnouts are usually boring and unsuccessful, so finding guests should be high on your list of objectives. You want to fill the room with people who will enjoy the event and stay for the entire duration. Go through your list of contacts; put in phone calls and send out emails to potential attendees. If it is an event open to the public, make sure to advertise the event on social networking websites.


Get the Press Involved


Another important objective of event promotion is attracting the press. If your event gets publicity, your organization will get free advertisement after the event is over via articles and photos. Make sure to send a press release about your event out to local newspapers, magazines and TV stations. Don't forget to use your personal connections; if you have any friends who are freelance writers, photographers or journalists make sure to offer them a free ticket.


Raising Money


If you are hosting a charity event, you should make sure your promotional objectives will help you to reach your fundraising goals. In your promotional materials make sure to include information about your charity and who the money will help. You may also want to include incentives for people to donate, such as prizes and giveaways, at the event. Lastly, you need to target your promotions to people who can afford to donate money to your cause.


Having a Clear Message


When planning your objectives, don't get so caught up in the glitz, glam and graphics that you don't get your message across clearly. Make sure all promotional materials have the correct time, date and location printed prominently; any mistakes can lead to people getting lost the day of the event or being late. Use large, easy-to-read fonts on posters and invitations. If tickets need to be purchased in advance, don't forget to include accurate ordering instructions in your message.
